How we collect, use and protect your personal information when you request a woodworm survey or quote from us.

This website is operated by WoodwormTreatmentHQ (“we”, “us”, “our”), trading as WoodwormTreatmentHQ at www.woodwormtreatmenthq.com. We are a national woodworm-treatment business covering England, Scotland and Wales. We are the data controller responsible for the personal data described in this policy. 2. What personal data we collect
When you use our enquiry or quote form, we collect the details you give us so we can respond to your request. These are:
- Name — so we know who we are speaking to.
- Postcode — so we can match you with the nearest local surveyor.
- Phone number — so we can call you back to arrange a survey.
- Email address — so we can confirm details and send your written quote.
- Your message — any information you choose to add about your property or the timber problem.
We also collect limited technical data automatically — such as your IP address, browser type and the pages you visit — through cookies and analytics. See our cookie policy for the detail.
3. Our lawful basis for processing
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we rely on the following lawful bases:
- Consent — when you submit the enquiry form, you ask us to contact you about your woodworm or timber problem. You can withdraw this consent at any time.
- Legitimate interest — to respond to your request, run our business, keep proper records, and improve the website. We balance this against your rights and only use your data in ways you would reasonably expect.
4. How we use your data
We use the information you give us to:
- respond to your quote request and arrange a free survey;
- provide a written, fixed quote and, if you go ahead, carry out and guarantee the work;
- keep records relating to surveys, treatments and our 30-year guarantee;
- answer any follow-up questions and handle complaints.
We do not sell your personal data, and we do not use it for unrelated marketing without your agreement.
5. Who we share your data with
To arrange your survey, we may pass your enquiry to a local surveyor or approved treatment partner in your area. They act on our instructions and may only use your details to contact you about your request. We may also share data with trusted service providers who help us run the site — for example email, hosting and analytics providers — and with professional advisers, insurers or authorities where the law requires it. We do not transfer your data outside the UK without appropriate safeguards in place.
6. Cookies and analytics
We use a small number of cookies to make the website work and, with your consent, to understand how visitors use it so we can improve it. Analytics data is used in aggregate and is not used to identify you personally. You can control or refuse cookies at any time — full detail, including how to change your settings, is in our cookie policy.
7. How long we keep it
We keep enquiry data only for as long as we need it. If you ask for a quote but do not proceed, we normally delete your enquiry within 12 months. Where you become a customer, we keep records relating to the work and our guarantee for the life of that guarantee and any period required for legal, accounting or insurance reasons. After that, we securely delete or anonymise your information.
8. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data where there is no good reason for us to keep it;
- object to, or ask us to restrict, our use of your data;
- ask us to transfer your data to another provider;
- withdraw any consent you have given, at any time.

9. How to complain
We would always prefer the chance to put things right, so please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection, at ico.org.uk or by calling their helpline on 0303 123 1113.

We may update this policy from time to time. The version published on this page is the current one, and the date at the top shows when it last changed. We encourage you to review it whenever you contact us.
